Registration may be limited on some events. To register for and EBTC event, you must be an EBTC member.

Free Single Day Events

Registration for single day events which do not require a fee usually require the participant to telephone or email the coordinator.  Registration requirements and deadline for these FREE events can be found in the description of the event.

Registration for Events Requiring a Fee

All registration for events such as the "Tour de l'Alberta" which require a fee is done on-line through the Karelo service.  If you want to register for a major Event, look for the registration link in the Trip Registrations Menu on the Home Page.  For all other Events requiring a fee, find the event for which you are interested in the Calendar and click on the registration link.  The opening time/date of registration and closing date are given in the description of the event.  Registration is on a first come first serve basis.  If a trip is full, you may have the option of being placed on the waiting list.

Event Fees (Here are the Rules)

  • For events with a fee of less than $100, full payment is required with registration, 50% is non-refundable.
  • For events with a fee of more than $100, (this usually applies to overnight trips) a minimum deposit of $100 is required with registration. 50% of the deposit is nonrefundable.
  • The event coordinator may set a minimum deposit which is higher that $100 for longer multi-day trips.
  • The balance of the event fee is due and payable at least 7 days prior to the departure of the trip.  For overnight and longer trips, the balance is due at the pre-trip meeting.

What if you have to Cancel

Call or e-mail the coordinator of the trip and let him/her know that you  need to cancel and the reason you need to cancel.

Refunds If You Cancel? (Here are the Rules)

Refunds of fees for a single day event, varies with each event and is at the disgression of the event coordinator.

For Overnight and longer events the refund policy is:

Refunds in extraordinary circumstance (e. g. illness)

All extraordinary refunds are to be reviewed by the executive. This includes any refunds for individuals in extraordinary circumstances (e.g. illness) and any refunds to all participants of a trip (due to trip making excess profit, [which is considered to be a profit of over $10 per participant]). · Anyone wishing a refund due to illness may be asked to provide a doctor’s certificate.

What if an Event is Cancelled by the Coordinator

When a trip is cancelled by the coordinator due to unforeseen circumstances, any costs that are expended for the trip and cannot be recovered will be covered by the club, pending the board’s approval. All other funds that have been collected will be reimbursed to the trip participants. Trip participants do not include those participants who have withdrawn prior to the trip beingcancelled by the coordinator.
